Introduction: A systematic patient record keeping using computerized database is important for development of future clinical research of any orthodontic program.
Objectives: The purpose of this innovation was to design a system for orthodontic records collection and create a web-based application program.
Methods: System architecture and database design were performed by the orthodontist and system analyst team. Development of the online database (Relational Database Management System) was based on Microsoft SQL Server 2005, on Window Server operating system.
Results: The database structure basically comprises 1) patient data information, 2) search system, 3) reports and labels. Integration of patient information in electronic files include 1) general patient data, 2) pretreatment characteristics, 3) treatment type and appliances, 4) digital photos & X-ray, 5) case report & consent forms. Various reports summary (residence semester report, complete case, transfer case, retention), labels for folder and model box, can be automatically generated. Design with keywords system were emphasized in this program to reduce error. Details and the function of the system will be demonstrated. The benefit of this database are for example 1) computerized case collection for clinical research 2) multi-location and multi-user access 3) security of data access 2) fast and accurate searching system 4) back-up repository for missing records, 5) system for monitoring case progress and clinical performance of residence etc. 6) effective tool for risk management etc.
Conclusion: The web-based application program “Mahidol University Orthodontic Database” establishes a foundation for clinical research and teaching development.
